Capability Statement Writing Services

A capability statement is the one document a contracting officer will actually read before deciding whether to talk to you. It is a single page, and it has a job: to make someone with no time and no prior knowledge of your business conclude that you are worth a conversation.

Most capability statements fail at that job. They read like brochures.

What a working capability statement contains

  • Core competencies — what you do, in the language the buyer uses, not the language your industry uses internally.
  • Differentiators — why you rather than the other bidder. Specific, and defensible.
  • Past performance — the work you have done, presented at its strongest without overstating it.
  • Company data — UEI, CAGE code, NAICS and PSC codes, business size and socio-economic status, accepted payment methods.
  • Certifications — federal and state, listed where a buyer looks for them.
  • Contact — a name, a direct line, and an email that a person actually monitors.

Why most of them do not work

  • Too long. One page. Two if the past performance genuinely earns it. A five-page capability statement will not be read.
  • Generic competencies that could describe any firm in the sector, so they distinguish nothing.
  • Missing the identifiers. No UEI, no CAGE, no NAICS codes — the things a contracting officer needs in order to do anything with you.
  • Marketing language where evidence should be. “World-class” is not a differentiator.
  • Not tailored. The same document sent to every agency, when the agency you are approaching has a specific mission and specific vocabulary.

What we do

We interview you properly first — what you have actually delivered, for whom, at what scale, and what went right. Then we write the document: competencies rewritten in buyer language, differentiators that hold up to scrutiny, past performance framed accurately, and every identifier in place.

You receive a designed, print-ready PDF and an editable version, plus targeted variants where you are approaching agencies with meaningfully different missions.

We will not invent past performance, inflate contract values, or list certifications you do not hold. Beyond the fact that it is dishonest, contracting officers verify, and a capability statement that does not survive verification is worse than no capability statement.

Every business starts there. We build the section from adjacent commercial work, subcontract experience, and the qualifications of the people doing the work — presented honestly as what it is. A first-time bidder who is straightforward about it reads better than one padding a page.

Common questions

How long should it be?

One page. That constraint is the point — it forces the decisions that make the document useful.

Do I need a different version for each agency?

Not for each agency, but you should have variants where missions differ materially. A statement written for a defence buyer is not the right document for a public health department.

What do I need to give you?

Your SAM.gov details, your certifications, a list of relevant work, and about an hour of conversation. We do the rest.

Where we work

We deliver nationwide, remotely. Federal registrations, federal and foundation grants, and proposal work are not tied to geography — most of our engagements never require anyone to be in the same room.

In California we work across Los Angeles County, Orange County, Riverside County, San Bernardino County and the wider Inland Empire, plus San Diego, Ventura and the Central Valley. State-specific programmes such as Cal eProcure and California SB certification are, by definition, California only — everything else travels.
