Registration and certification are not one-off events. They are a standing obligation, and the businesses that lose eligibility rarely do so through any dramatic failure — they lose it because nobody was watching a date.
Monthly maintenance means someone is watching.
What is included
- Compliance calendar, kept current. Every registration, certification and filing you hold, with its expiry date and required lead time.
- Advance warning. We tell you what is coming before it is urgent, not after.
- Renewals filed as they fall due, so nothing lapses. More on renewals.
- Profile upkeep. SAM.gov, Cal eProcure and agency vendor profiles kept accurate as contacts, addresses and codes change.
- Code review. Periodic reassessment of your NAICS and commodity codes against the work you are actually chasing.
- Opportunity monitoring. Relevant solicitations flagged as they are posted, with a view on whether they are worth pursuing.
- A point of contact. Someone to ask when a prime requests documentation you have never heard of.
Who it suits
- Businesses holding several registrations and certifications across federal, state and local systems
- Small teams with no one whose actual job this is
- Anyone who has already lost eligibility once and does not intend to again
- Nonprofits carrying both federal and California filing obligations
If you hold a single registration and are comfortable tracking one date, you probably do not need this. We will say so.
What it is not
It is not a retainer for unlimited proposal writing. Bids and grant applications are quoted separately as they arise, because their scope varies enormously. Maintenance covers the standing compliance work that keeps you eligible to bid at all.
Common questions
Is there a minimum term?
Tell us how you would prefer to work and we will structure it around that. Compliance cycles are annual, so most clients find a year the natural unit.
What does it cost?
It depends on how many registrations and certifications you hold. We quote a fixed monthly fee once we have audited what you are carrying.
Can we start with the audit?
Yes, and most clients do. The audit tells you what you hold and what is at risk, and you decide about ongoing maintenance afterwards.
Do you need access to our accounts?
For some systems, yes. We will tell you exactly what access is needed and why, and you keep control of it throughout.
Where we work
We deliver nationwide, remotely. Federal registrations, federal and foundation grants, and proposal work are not tied to geography — most of our engagements never require anyone to be in the same room.
In California we work across Los Angeles County, Orange County, Riverside County, San Bernardino County and the wider Inland Empire, plus San Diego, Ventura and the Central Valley. State-specific programmes such as Cal eProcure and California SB certification are, by definition, California only — everything else travels.
Our office is in downtown San Bernardino. See all service areas.
