Commodity codes are the single most under-considered part of a Cal eProcure registration, and the one that most determines whether it produces anything. They are UNSPSC codes, you need at least one to submit, and state buyers use them to find suppliers. A registration with four narrowly chosen codes hears about a fraction of what one with twenty hears about.

What UNSPSC codes actually are

The United Nations Standard Products and Services Code is a hierarchical classification system for everything an organisation might buy. Each code sits inside a segment, family and class, moving from general to specific. Cal eProcure uses them to match suppliers to solicitations.

The practical consequence: your codes are not a description of your business for a human reader. They are the index entry a buyer searches against. Choose them for findability, not for accuracy of self-description.

The three ways to find your codes

  1. Keyword search inside Cal eProcure. Type a description into the UNSPSC Description field — “insurance”, “welding”, “translation” — and select from the results.
  2. Enter a known code directly. If you already have codes from another system, type them into the UNSPSC field and search.
  3. Browse unspsc.org separately and bring the codes back. This is worth doing for the structure alone, because it shows you adjacent categories you would not have thought to search for.

How many codes to add

More than feels natural. The state’s own guidance is blunt about it: the more codes you have, the more bidding opportunities you receive. There is no penalty for breadth and no cost per code.

The instinct to be precise works against you here. A firm that does commercial cleaning might add one janitorial code and stop. The same firm plausibly belongs under building maintenance, sanitation supplies, floor care, window cleaning, waste handling and facilities support services. Each of those is a category a state buyer might search when writing a solicitation.

A reasonable target for most firms is fifteen to thirty codes. Under ten usually means the registration will go quiet.

How to choose them well

  • Start from what you sell, then widen by adjacency. For each core code, look at its siblings in the same family and ask whether you could deliver that too.
  • Add the inputs and the outputs. A fabricator selling finished assemblies may also be found under raw materials, machining services and inspection.
  • Include the service wrapper. Firms that sell a product often also sell installation, maintenance, training or support, each of which has its own codes.
  • Think about how a buyer words it, not how you do. Public agencies write solicitations in procurement language. “Temporary staffing” and “personnel services” are the same thing to you and different searches to them.
  • Do not add categories you cannot deliver. Breadth is good; fiction wastes everyone’s time and damages you when you decline or fail.

Where the codes carry through

Codes selected during registration transfer automatically into your certification application if you choose to carry them over, and they also drive your bid notifications. The service areas you select are separate and control notifications by county only — they are not a statement of where you will work and they do not limit what you can bid.

Revisit them once a year

Businesses add capabilities and forget to tell the system. If you have taken on a new service line, hired into a new discipline, or bought equipment that opens a category, the codes should follow. It is a ten-minute job that changes what arrives in your inbox for the next twelve months.
